Building management

Building management streamlined

Minimise the time you spend in your inbox, answering calls from angry owners wanting information, or doing double-entry admin tasks that make you want to claw your eyes out with a spoon. Use OurCommons to unlock time to build relationships, add strategic value for your customers and grow your business.

Building managers choosing quotes from verified contractors

Keep it simple.

Log works required, obtain quotes, secure approvals, and communicate effectively with owners.

01

Never let a task slip.

Spot an issue? Jumped by an owner in the lobby? Log it on your phone: add a photo and notes with context. It gets added to the building's task board, and all future approvals, quotes, and project information stays linked to that ticket.

  • One thread: from the first photo or owner report, through to quotes, contracting, work stages, invoicing and post-completion warranties.
  • Passive, or active: we let owners submit requests through the app and see live status updates in their portal to know when a fix is coming (or you can lodge them yourself). Save yourself time on the phone or in your inbox.
  • Approvals made easy: submit larger jobs for committee and strata manager approval with one click. Votes are secured electronically. For smaller, recurring jobs: set up a standing work order that auto-renews.
02

Get a good deal.

In just a few clicks you can open an RFP on our marketplace: do a public Q&A to avoid answering the same questions over and over, and set a deadline for responses with reminders pushed to vendors. Once the RFP is published, compare sealed, blind bids side-by-side when they land. No race to the bottom, price gouging or underscoping.

  • Vendors can get ABN or GST verified, list their trade licences and insurance coverage to make choosing easier. Invite your own existing contractors, flag favourites, block the ones you don't want to work with again. Vendors are independent and pay nothing to use the platform.
  • Mark your recommended vendor (or suggestion to re-open the RFP) for approval by the strata manager and committee. They see your reasoning and insights; allowing you to follow the law and add strategic value to your services at the same time.
  • If approved, the building's award flows straight into project tracking and invoicing. No re-entry, no re-work, and no lost context. Depending on what project you set up; tick off milestones, take progress pictures, and monitor warranty periods as each project progresses before unlocking disbursement approval by the strata manager.
03

Get your message across.

Broadcast messages in the app itself with notifications on web and mobile (both iOS and Android), or use push notifications via email or SMS for urgent matters. Customise your notification rules that suit your building's needs. Owners can hear about ticket updates, contractor visits and completed work without you lifting a finger.

  • While you remain in control, and all legal notices are enforced mandatorily, individual owners tune their own notification preferences to suit them. This ensures owners who need to know get their updates, and those who prefer to sit back aren't spammed.
  • Every communication is logged when dispatched, and when opened. No more 'nobody told me' issues for unit access or complaints about work being done. Find out if someone isn't receiving notifications to follow up directly. Stay ahead of any miscommunication issues before they become problems.
04

Mobile app, for those on the go.

Managing multiple building sites doesn't have to be a headache. Log tickets from your phone and have everything at your desk on the computer at the end of the day. Log items for your colleagues to see and pick up while you're out.

  • Building managers use the same app as owners, committees and strata managers. In your dedicated dashboard, see active or completed tasks for you, RFPs, active projects and key dates: all in one place.
  • Log tickets on your mobile, open RFPs that auto-populate with a building's history so you don't need to re-type background information, have any impacted owners and the committee updated on their mobiles automatically.
  • Easily secure electronic approvals from the app and stay across every vendor, every project: all in one place, all while on the go.
